I got an email about an Action Item. What is it, and what do I do?

NOTE: This feature is available to the first person in the workflow (usually the writer) only when answering an Action Item they receive. Writers should email project managers directly if there are issues during initial writing.

If someone in the workflow has a question for you or needs you to make a change to an article, they will send you an Action Item.

To view an Action Item: 

  • Click an an item in the Action Items That Need Your Attention list on the RRD Content Source homepage.
  • The Item Thread will appear on the right so you can see what the question is.
  • Click the blue task name to see a read-only version of the article.

Action Items won’t necessarily show up in Things That Are Ready To Be Worked On Now.

  • If you need to revise the work, it will show up in both places.
  • If only a question or clarification is needed, it will show up only in the Action Items list.

You must reply to the Action Item by sending an Action Item back to the person who sent it to you.

To send an Action Item without sending the assignment as well:

  1. Select the Send Comment button.
  2. Use the drop down menu to choose the person you want to send an Action Item.
  3. Type a public or private comment.
  4. Click Save.

 

To send the assignment with the Action Item:

  1. Click the Redirect button in the Item Thread.
  2. Move the slider to the step in the workflow that you want to send the article back to (writer, fact-checker, etc.)
  3. Check off any steps that need to be revisited after the step you’re sending it back to. For example, if an editor sends an article back to the writer and wants it to go to the factchecker again after being revised, they would move the slider to WR and check off FC 1. (If you don’t check anything, the assignment will come back to you.)
  4. Type a public or private comment.
  5. Click Save.

 

If an assignment is still in your Action Item list after the question or issue is resolved, click the Done icon. It will be taken out of your list. Make sure everything has been addressed before you delete an Action Item!
